HSRAA26 Call for Abstracts

4th-6th March 2026 | Amsterdam

This major sector-specific gathering provides an annual opportunity to hear from experts, thought-leaders, and leading practitioners on the key challenges and trends in records management and archiving within the health sciences sector.

HSRAA26 will feature a packed programme of inspirational speakers, lively discussions, and networking opportunities, all centred on the latest thinking, industry innovations, and best practice. Key features include high-level keynote speakers, industry-focused presentations, case studies, workshops and panels, interactive debates, networking, and social activities for sharing experiences and making valuable new connections.

The Call for Abstracts at HSRAA26 is your opportunity to share your expertise, showcase innovative projects, and contribute to shaping the conversation on the future of health sciences records management.

Scope:

As an international professional membership organisation, The Health Sciences Records and Archives Association (HSRAA) invites colleagues in the global record keeping and archiving community to submit abstracts for HSRAA26.

Presentations should focus on archiving, records management, information governance, digital preservation, and regulatory compliance as they relate to the GxP-regulated healthcare sectors.

You can participate in the following ways:

  • Individual presentation (30-40 mins)
  • Group panel session (up to 5 speakers) (45-90 mins)
  • Interactive Roundtable (45-90 mins)

Abstracts should be prepared for a 30-40 minute non-commercial presentation on a specific topic relevant to HSRAA members (please see “FAQ’s” below). Where the subject matter is specific to one area of health science activity (e.g. clinical trials, drug manufacturing or laboratory records and data), the abstract should clearly demonstrate how you intend to show applicability across other areas. It is critical that your presentation is of interest to the whole audience.

You may submit more than one abstract but please do not submit the same abstract more than once.

All presentations at HSRAA26 must be delivered in person in Amsterdam; remote presentations will not be permitted.

In forming your Presentation:

  • Try to connect your presentation to the themes of the conference as best you can. The theme is designed for presenters to bring topics to light that touch on contemporary issues. Please see “FAQ’s” below for suggested topics and titles.
  • Try to be creative with your presentation. The best received presentations stimulate enquiry and debate.
  • Provide as much information as possible in your abstract; this helps the Programme Committee to make informed choices when considering abstracts and scheduling sessions.
  • Be relevant, current and representative. Consider looking at a topic that has given rise to recent debate, and/or considers opposing viewpoints, and/or focusses on the broader picture rather than narrow issues.
  • Show how your subject can be made relevant and interesting to all conference attendees, not just those working in the specific area you will be discussing.
  • If considering a panel session, recruit participants from different backgrounds and viewpoints so that differing perspectives will be presented.

Closing date for Abstract Submissions is Midnight, November 2nd 2025. No Abstracts will be accepted after the closing date.

FAQs

The conference programme is in development but the themes below are provided as a guide on the topics the Conference Committee would like to see addressed.

  • Compliance and control as everything is changing – new opportunities
Abstracts on other relevant and forward-thinking topics are also welcome, and you may submit a proposal on a subject of your choice for consideration by the Conference Committee.

All abstracts are to be submitted using the online form, you will find this above the FAQs and lower down this page. We will not accept abstracts that are not submitted using the online form. 

There is no word limit on abstracts. We recommend that you provide enough information to outline what you are proposing to present. Your submitted abstract must be a minimum of 3-4 sentences, suitable for publication in the conference agenda/programme.

Presentations MUST NOT be of a commercial nature (i.e. promoting a company or product). All presentations will be reviewed by the HSRAA Conference Committee who reserve the right to ask for content to be removed or changed in a presentation if in their opinion it is deemed to be commercially oriented.

Each submission will be acknowledged to the corresponding author on receipt and assigned a unique Abstract Number. This number must be quoted in any correspondence. Any enquiries should be made to conference@the-HSRAA.org

Abstracts will be reviewed by the HSRAA Conference Committee. The corresponding author will be advised of the outcome within 3 weeks of the closing date for submissions.

The corresponding author is responsible for notifying these details to other authors, including the presenting author.

Abstracts, once accepted for publication, cannot be changed (except as identified by the Conference Committee) or withdrawn.

Full instructions will be provided following the acceptance of submissions, but for initial guidance presentations will be approximately between 30 to 40 minutes, followed by discussion. Corresponding authors will be notified if their abstract has been selected and the duration of their presentation. Please note timing is subject to change due to programme scheduling.

Abstract Speakers will receive free entry on the day of their presentation or 30% off either the Full Conference Package or the Main Conference Package.

All accepted abstracts presented at the conference will be available at the conference and will be available to conference delegates via the HSRAA website/Event App following the event.

Some sessions may be recorded and made available online.
